The Australian Music Examinations Board (AMEB) is a national examination board that assesses qualifications in music, speech and drama. This privacy policy sets out how AMEB (NSW) collects and manages personal information.

AMEB (NSW) complies with the Information Protection Principles (“IPPs”) contained in the Privacy and Personal Information Protection Act 1998 –  (the “PPIP Act”). In relation to health information, AMEB (NSW) also complies with the Health Privacy Principles (“HPPs”) contained in the Health Records and Information Privacy Act 2002 – (the “HRIP Act”).

The IPPs and HPPs govern how AMEB (NSW) deals with personal and health information. They include rules about the collection, use, storage and disclosure of such information. AMEB (NSW) may review and update this privacy policy from time to time, to take account of  changes in laws, technology and operations.

To fulfil its functions in assessing students in NSW and the ACT, AMEB (NSW) collects the personal information of all candidates.  This information is used to manage enrolments and to prepare and send reports and certificates. It may also be used to verify the achievement of individuals with schools or universities.  AMEB (NSW) discloses results data to the NSW Education Standard Authority (NESA) to report on outcomes of assessments. AMEB (NSW) also provides personal information related to examiners to AMEB Ltd in the course of ensuring examiner qualifications and suitability. Working with Children Check (WWCC) details of staff and examiners may also be disclosed to schools to comply with school site access protocols.

AMEB (NSW) will generally collect personal or health information by way of forms filled out by parents/guardians or candidates, face-to-face meetings and interviews, emails and telephone calls. Where authorised, personal information may be provided by people other than parents/guardians and candidates, including other enrollers. AMEB (NSW) will not disclose your personal or health information without your consent unless it is required or permitted by law.

This privacy policy applies to all staff, including permanent, temporary, casual and seconded staff, as well as contractors and consultants engaged by AMEB (NSW) and by NESA.

AMEB (NSW) promotes a strong privacy culture by:

  • complying with its obligations under the PPIP and HRIP Acts
  • continually improving privacy management
  • providing privacy awareness training to staff
  • complying with the NESA privacy management plan
  • reviewing and updating this privacy policy

For candidates

AMEB (NSW) collects the name and date of birth of each candidate and may collect further identity documents and contact details from the individual enrolling the candidate. This information is used to manage enrolment, to prepare and send reports and certificates and to verify individuals with schools or universities.

Candidates undertaking diploma exams who receive an award or above will have their names printed in the annual presentation ceremony program. AMEB (NSW) also provides results data to NESA to report on outcomes of assessments.

For teachers/parents/enrollers

AMEB (NSW) collects the name and contact details of individuals who enrol candidates, along with the name and date of birth of each candidate to be enrolled. Enrollers are required to ensure that they are authorised to provide such information on behalf of candidates. AMEB (NSW) may collect identity documents, contact details (and where relevant, candidates’ health information) to enable enrolment.

This information is used to manage enrolment, prepare and send reports and certificates, apply any special provisions and to verify the achievement of individuals with schools or universities.

Enrollers receiving teaching awards will have their names printed in the annual presentation ceremony program.  AMEB (NSW) may also use teacher enrolment records to assess eligibility for AMEB (NSW) board membership or to nominate individuals or schools for annual teacher awards.

For examiners

AMEB (NSW) collects the name, contact details, date of birth, Working with Children Check (WWCC) clearance number and other relevant employment and professional development information to manage engagement and employment. This information is used to confirm suitability for employment with AMEB (NSW).

To endorse their nomination, engagement and progression as examiners, AMEB (NSW) provides the personal information of examiners to the AMEB (NSW) board and to AMEB Ltd. AMEB (NSW) may also provide WWCC details and other personal information of examiners to schools, to comply with school site access protocols.

Where there is an application for review of AMEB (NSW) conduct in relation to an individual’s privacy, AMEB (NSW) will undertake a review of the conduct under Part 5 of the PPIP Act. A review must be completed within a reasonably practicable period in the circumstances and AMEB (NSW) will notify the applicant of the outcome of the review within 14 days after its completion.
